Unallocate transactions

To unallocate a receipt or payment from an invoice or credit note

  1. Go to Banking.
  2. Click the bank account used for the receipt or payment.
  3. On the Activity tab, click the receipt or payment for which you want to remove the allocation.
  4. From the bottom of the Customer Receipt or Vendor Payment window, unmark the check box for the relevant invoice or credit note.
    Note:

    If the receipt or payment covers multiple invoices or credit notes and you unallocate one of them, the remaining transactions are unaffected. If you originally allocated the receipt or payment to the incorrect invoice or credit note, select All from the Display option and select the invoice or receipt you want to allocate the unallocated amount to.

  5. Click Save to update the transaction.
  6. Click Yes to save the unallocated amount as a payment on account.

The transactions are no longer allocated and you can make the necessary changes. The receipt or payment becomes a payment on account and is available to allocate to another invoice or credit note when required.

To unallocate an invoice and credit note

Note:

When you allocate an invoice and a stand-alone credit note, or you create a credit note from within an invoice, it creates a customer or vendor allocation transaction. Before you can change or void the invoice or credit note, you must first remove this allocation.

  1. From Contacts, click the required contact.
  2. On the Activity, tab, click the relevant allocation transaction.
    Note:

    The date of the allocation transaction is the date you allocated the invoice and credit note.

  3. Unmark the check boxes for the invoice and the credit note you want to unallocate.
    Note:

    If you allocated multiple transactions at the same time, and you only want to unallocate one invoice and credit note, the remaining transactions are unaffected. If the credit note covered multiple invoices, click the credit note. Change the amount to pay and Save. For example, if the invoice was for $50 and the credit note was $100, the amount to pay should be -$50.

  4. Click Save.

You've successfully unallocated the sales invoice and credit note which are now outstanding. You can make any changes as required, or if the credit note was allocated to the wrong invoice, you can now allocate it to the correct invoice.
