Add and manage subscriptions for your clients

With Client Management you can manage your client's subscriptions to Sage products.

After reading this topic you will know:

  • The difference between Product subscriptions and Connected subscriptions.

  • How to add, cancel and reactivate subscriptions.

  • How to set up a subscription to Accounting or Payroll.

  • How your monthly bill will update to reflect these changes.

Before you start

Make sure that you have your latest billing and invoicing details uploaded to Sage. This will speed up the whole subscription process, and make it much simpler to update in future.

Add a subscription to a client

Follow this procedure if you will be paying for the client's subscription. If instead, you need access to a subscription that your client is already paying for, see Manage invitations — subscription access and ownership

  1. From the client list, select the client you want to buy a subscription for.

  2. Select the Products tab.

  3. Select Manage subscriptions.

  4. Select each subscription to add.

    We'll show you a preview of your revised monthly subscription charges.

  5. Select Apply changes.

    Your monthly bill will be updated accordingly.

Cancel a client subscription

Follow this procedure if you are paying for the client's subscription. If instead, you no longer need access to a subscription that your client is already paying for, see Manage invitations.

  1. From the client list, select the client you want to cancel a subscription for.

  2. Select the Products tab

  3. Select Manage subscriptions .

  4. Select Cancel subscription to cancel your subscription.
  5. Select Apply selections to confirm you'd like to cancel.

    You may need to download any required data from your subscription when cancelling, in line with your country's regulatory requirements.

Edit, add and cancel client subscriptions

Depending on the client, you can change their subscriptions within Client tools, or Bookkeeping or Payroll. If your client is already subscribed to a higher-level bookkeeping product (such as Accounting Standard or Accounting Plus) they cannot be downgraded to a lower-level product like Accounting Start because there are features and data pulled through from these other products that simply do not exist in this product.

If you need to update Payroll for your client, make sure that you have updated the number of employees within Sage Payroll first. Otherwise, you may receive an error saying that the number of employees is incorrect, especially if you're reducing the number of employees working for your client.

Reactivate your subscription

We keep your subscription data for up to 6 months after your cancellation, or longer in some specific cases. You can reactivate that subscription with all of its data, for the same product or tier, via the Subscriptions page. If you want to change your product within this period – for example upgrading or regrading your product – you need to reactivate the recently cancelled product and make the changes to upgrade this from there.

If you reactivate before this 6 month period ends, we will reset your subscription to how it was before you cancelled. All of your data will remain as it was when you cancelled the subscription.

If you try to reactivate a subscription after the 6 month period, we may have deleted this data from our system. If this is the case, you will then need to re-add your clients’ data for their subscriptions, and any relevant data.

Understand your total monthly charges

This section calculates your running monthly total when adding, editing or cancelling your client's subscriptions. It calculates this based on new subscriptions, existing subscriptions and even shows you which subscriptions are expiring.

You'll also be able to view the total cost including discounts and VAT. It also calculates how many Sage Rewards points you're eligible for.

When you have made all of the changes you want to, select Apply changes to save your changes and update your client's subscriptions.
