The Clients list

After reading this topic you will know:

  • Where to find your clients in the list.

  • How to tailor the list to show you just the information you need.

Key parts of the Clients list

A Find clients by entering their names in the search box.

Select Filter to display a subset of clients.

C Add clients ready to store their details, or import client details from an XLS, XLSX or CSV file.
D Toggle between displaying the clients within their client folders or as a flat list by selecting Folder view or List view.

Select Include hidden clients in list to show all clients including those you've hidden.

F When in the Folder view, expand a client folder in the list to see the clients within.
G Select Actions for additional actions to take with your client folders and clients.
H Individuals and organisations are shown when a client folder is expanded.

Client folders

You'll see client folders when you're on the client list and have Folder view selected.

Consider the scenario where you do work for a company called Imagine Microsystems. You are engaged to do the final accounts work for Imagine Microsystems and also the personal tax returns for the directors Isabella Brown and Amelia Thomas.

A client folder lets you group the company with the directors so they appear together in the client list.

Find a client in the list

You can find a specific client by using the search tool.

You can search from the Folder view or List view. The only difference is in how the results are displayed.

  1. Select the Clients tab.

  2. Choose the Folder view or List view.

  3. In the search box, enter a search term.

  4. Select the magnifying glass icon or press Enter to search.

Note:
  • If you're on the folder view, and your search matches a client, you may need to expand the client folders to find your client.

  • If you're on the list view, and your search matches a client folder, you may need to check in the Client folder column.

Filter the list

Filtering the client list is another way to help you find 1 or more clients.

  1. Select the Clients tab.

  2. Select Filter.

  3. You can add filters based on:

    • Product - Only shows results based on a specific product.

    • Type - Only shows clients of a certain type. Use this for finding all partnerships or companies for example.

    • Country - Only shows clients based in a certain country.

    • Financial year end - Only shows clients with specific financial year ends.

  4. You can add additional filters as necessary to refine your search.

  5. Select Apply to see the results of your filters.

If you do not get the results you expect, consider making changes to your filters or try using the search option instead.

Where are my contacts in the Clients list?

To keep the client list focussed on the individuals and organisations you do work for, as opposed to those that you need for reference only, Client Management does not display contacts on the client list.

To view your contacts, select the Contacts tab.

Hide clients

On the Clients list you have the option to hide clients. Hiding a client does not delete the client’s data.

  1. Select the Clients tab.

  2. Choose the client you want to hide.

  3. Select Actions on the row of the client you want to hide.

  4. Select Hide from client list.

If you want to view all hidden clients, select Include hidden clients in list.

Rename a client folder

When you first add a client, a client folder is automatically created. You might like to change this to something more meaningful.

  1. Select the Clients tab.

  2. Select Folder view.

  3. Select Actions on the row of the client folder you want to rename.

  4. Select Edit details.

  5. Name your client folder.

  6. Select Save.
