Import a chart of accounts file

If you have a new business with no transactions or records, you can import your chart of accounts from a comma separated value (*.csv) file. This saves you time instead of manually setting up your chart of accounts.

How it works

During the import process, the accounts in your csv file overwrite the default ledger accounts in Accounting.

You can update the code and general ledger name of the Control Accounts if you include them in your import file. If you don’t include these, Accounting creates them automatically, as they are mandatory accounts.

Template file

To import a chart of accounts file, you'll need to format the file as described below and then save it as a csv file.

Note: The maximum file size is 0.5MB.

Import rules

To ensure your file imports successfully, row 1 must contain a valid column headings in the csv file. Use the same headings as in the Field name column below:

Column Field Name Rules
A CODE Can contain up to 8 numeric characters, each code must be unique.
B GIFI CODE The GIFI code assigned to the account.
C LEDGER NAME Max length 200 characters.
D CONTROL ACCOUNT

If populated must contain a valid control account name, these ledger accounts can be updated with different numbers/names but should not be removed.

Note: When BANK_CURRENT or BANK_CASH control accounts are imported in the BANK category, a bank account is created on the Banking page.

E CATEGORY

Must be a valid category:

  • REVENUE
  • OTHER_INCOME
  • DIRECT_EXPENSES
  • EXPENSES
  • DEPRECIATION
  • CURRENT_ASSETS
  • FIXED_ASSETS
  • BANK
  • CURRENT_LIABILITY
  • FUTURE_LIABILITY
  • EQUITY
F PART RECOVERABLE PERCENTAGE Enter the percentage (a number from 0 to 100) of tax that is recoverable.
G NON RECOVERABLE LEDGER ACCOUNT Enter the number of the ledger account where you want to post partially recoverable taxes. This must be an existing expense (or direct expense) ledger account.

 

Import a chart of accounts file

When your csv file is ready, follow the steps below to import your chart of accounts:

  1. Go to Settings, then go to Chart of Accounts.
  2. Click New Ledger Account arrow, then select Import Accounts.
  3. Within the import, window click Upload Data File.
  4. Browse to and select the csv file, then click Open.
  5. Click OK.
